QBoard General Information

Card layout, statuses, and how QBoard works — what each element means and who can change it.

What is QBoard?

QBoard is a real-time housekeeping room status board built for independent hotel operators.

It gives housekeeping teams, supervisors, and front desk staff a live shared view of every room on the property — what needs cleaning, who is cleaning it, what is done, and what is ready for guests — all from any device, no app download required.

Room Status

Room Status is shown by the colored ribbon on the left side of every card. It reflects the current housekeeping state of the room.

Reservation Status

Reservation Status is shown in the dashed badge on each card. It reflects the guest occupancy state of the room and helps housekeeping know what type of service is needed.

Service Status

Service Status reflects what is actively happening to a room at any given moment — cleaning progress, inspection progress, or a guest interaction. These events appear on the card icon and in the activity log. DND and Service Declined do not persist to the next day; all others clear at the midnight reset.

Reading Your Room Card

Every room on the board shows as a card. Here is what each part of the card means.

How to log in, work your assigned rooms, and report room status from your phone.

Logging In

Open the browser on your phone and go to qboard.smallhospitality.com. You will see a login screen asking for your Property Code and your PIN.

  • 1Enter the Property Code given to you by your manager (example: SH-1357).
  • 2Enter your personal PIN number.
  • 3Tap Log In. You will go straight to your assigned rooms.
Note: You will only see rooms assigned to you. If your screen shows no rooms, contact your supervisor — they need to assign rooms to your name before your shift starts.

Your Room Cards

Each room you are assigned appears as a card on your board. Tap any card to see your full-screen action buttons.

Your Buttons

The buttons on your cards change based on the room's current state. You will only ever see the buttons that apply to where that room is right now.

Starting a Room

When you are ready to clean a room, tap Start Cleaning. The ribbon on the card stays red but your progress timer begins recording.

Tip: You can only have one room In Progress at a time. Finish or stop your current room before starting another.

Confirmation prompts: Some rooms will show a confirmation before cleaning starts:

D/O prompt: The room is Due Out but may not have been officially checked out in the system yet. If your supervisor or front desk has confirmed the guest is already gone, tap OK and proceed with the full turnover clean.

S/O prompt: The guest is on a multi-night stay but has requested housekeeping service for today. Tap OK to proceed — this is normal for guests who want a make-up service during their stay.

The same confirmation appears on Complete Cleaning and Stop for these room types.

Completing a Room

When you finish cleaning, tap Complete Cleaning. The ribbon changes to blue and the room moves to your supervisor's inspection queue.

Important: Do not tap Complete until the room is truly finished. You cannot manually set a room to Clean — tapping Complete is the only way to trigger it, and your timestamp is recorded at that moment for the daily report.

Stopping and Resuming

If you need to step away from a room mid-clean (supply run, break, answering a question), tap Stop. The room is paused — no time is lost.

When you come back, tap Resume Cleaning to pick up where you left off.

DND & Refused Service

Sometimes a guest does not want housekeeping. There are two ways to record this:

  • DND — The Do Not Disturb sign is on the door. Tap DND to log it and move on. Your supervisor sees it in the report.
  • Refused Service — You knocked, a guest answered, and they said no thank you. Tap Refused Service to log the interaction.
Note: Both DND and Refused Service are one-time log events. They do not carry over to the next morning — the room resets with the rest at midnight.

Working Offline

QBoard works even without a signal. If your phone loses internet in a stairwell, laundry room, or corner of the building, your taps are saved locally and sync automatically the moment you reconnect.

You will see a small offline indicator when you are not connected. Everything you do while offline is queued and will upload once signal returns. You do not need to do anything — it happens automatically.

Logging In

Open qboard.smallhospitality.com on your computer or phone.

Reading the Board

The board shows all rooms in a grid. Each card tells you the current state of that room at a glance.

As front desk, you have full read access to the board. You can see who each room is assigned to, what the cleaning status is, and what the reservation status shows. This lets you answer guest questions and coordinate with housekeeping without calling anyone.

Tip: Use the All Floors and All Room Status filters at the top of the board to quickly narrow the view — for example, show only Dirty rooms where a guest is expected to check in (C/I) so you know which rooms are the priority.

Filters

Two filter dropdowns sit above the room grid. Use them to narrow the board to exactly what you need without scrolling through every card.

Filters stack — you can select a floor AND a status at the same time (e.g. Floor 2 + Dirty shows only dirty rooms on floor two). Tap Clear to reset both filters at once.

Updating Reservation Status

This is your primary action in QBoard. As guests check in and out, keep the reservation status current so housekeeping always knows what type of service each room needs.

  • 1Tap the room card to open its reservation panel.
  • 2Under Reservation Status, tap the new status: C/I, C/O, S/O, or D/O.
  • 3The card updates instantly — the badge on the board changes in real time for the whole team.
Automatic trigger: Setting a room to C/I (Checked In) automatically flips the cleaning status to Dirty. This ensures the room enters the housekeeping queue without any extra steps. C/O does not trigger a change — the room was already marked Dirty from checkout.

Bulk Reservation Update

When you need to update multiple rooms at once — for example, switching several S/O rooms to C/O after a group checkout — use the bulk selector instead of tapping each card individually.

  • 1Tap the checkbox in the top-left corner of each room card you want to update. You can select as many as needed.
  • 2The floating action bar appears at the bottom of the screen as soon as a room is selected.
  • 3Tap Set Reservation Status and choose the new status (C/I, C/O, S/O, or D/O).
  • 4All selected rooms update instantly.

Note: Front Desk bulk actions are limited to Reservation Status only. Room assignment is handled by the Housekeeping Supervisor.

Manage your team, assign rooms, inspect completed rooms, and override status when needed.

Logging In

Open qboard.smallhospitality.com on your phone or computer.

Morning Setup — Setting Due Out Rooms

Every morning at 1:00 AM, QBoard automatically resets. All rooms where a guest was checked in (C/I) the night before are flipped to S/O (Stay Over). This means QBoard starts each day assuming every occupied room is staying another night.

Your first task of the morning is to cross-reference your PMS departure report and update the rooms that are actually checking out today from S/O to D/O (Due Out). This tells your attendants which rooms need a full turnover clean instead of a light make-up service.

  • 1Pull your departure report from the PMS — this is the list of guests checking out today.
  • 2On the QBoard board, use the checkboxes to select all the rooms on your departure list.
  • 3In the floating bar, tap Set Reservation Status and choose D/O. Also update any S/O rooms where the guest has specifically requested service.
  • 4Now assign rooms to your attendants — use the checkboxes to select rooms and tap Assign Rooms To in the floating bar. See Assigning Rooms for the full steps.
  • 5Once assigned, each attendant sees their cards on their phone — S/O rooms show as make-up service, D/O rooms show as full turnover. Rooms not assigned to them will not appear on their screen.
Set statuses before assigning: Always set D/O and any S/O service requests first, then assign rooms. Attendants only see their cards after assignment — that is when the status on each card becomes their instruction for the day.

Staff Summary Bar

At the top of your board, above the filters, you see a live summary of every attendant on duty:

  • Attendant name
  • How many rooms they are assigned
  • How many are completed
  • Their current activity (cleaning, stopped, idle)

This gives you a floor-level view of your team's progress without walking every hallway.

Card Timer

When an attendant taps Start Cleaning, a timer begins on their card — visible to you on the board in real time. The timer shows how long that room has been in progress.

Use the timer to spot rooms that have been in progress unusually long so you can check in with your attendant before it becomes a problem.

Tip: If a room has been in progress much longer than expected, open the room panel (three-dot ⋮) to see the full activity log and find out what happened.

Assigning Rooms to Attendants

Every card has a checkbox in the top-left corner. Use these to select rooms, then use the floating bar at the bottom to assign them.

  • 1Tap the checkbox on each room you want to assign. You can select as many as you need.
  • 2The floating action bar appears at the bottom of the screen as soon as a room is selected.
  • 3Tap Assign Rooms To and select the attendant from the list.
  • 4The rooms are assigned instantly — they appear on that attendant's screen right away.

Reassigning: To move rooms from one attendant to another, just select the rooms and assign to a different person. The new assignment replaces the previous one automatically.

Unassigned Rooms

At the start of every shift, all rooms show Unassigned at the bottom of their card. This means no attendant has been assigned to that room yet — it will not appear on any attendant's screen until you assign it.

The message at the top of the board reads "No rooms currently assigned to staff" until at least one room is assigned. This is your prompt to begin the morning setup.

Start of shift routine: Use bulk select to check all rooms, then assign them to your attendants in one step. Rooms appear on each attendant's phone instantly.

Inspecting a Room

When an attendant completes cleaning, their room ribbon turns blue. That is your signal to inspect.

  • 1Find a room with a CLEAN ribbon on the board.
  • 2Tap the three-dot button (⋮) on the card to open the room panel.
  • 3Under Inspection, tap Inspection Started.
  • 4Walk the room. Check linens, amenities, fixtures.
  • 5Tap Inspection Completed if the room passes. The card turns full green — INSPECTED.
If the room needs more work: Tap Stop, then use Override Status to set the room back to Dirty. You can reassign it to the attendant or another staff member.

Bulk Actions

Select multiple rooms using the checkboxes at the top-left of each card, then use the floating bar at the bottom to act on all of them at once.

Conflict override modal

When a bulk action conflicts with some rooms (for example, you try to set a room to Clean that is already Inspected), a conflict window appears before anything is changed. It lists every room that has a conflict and gives you two choices:

  • Skip these rooms — applies the action only to the rooms without conflicts, leaves the conflicting rooms untouched.
  • Override all — applies the action to every selected room, including the ones with conflicts. All overrides are logged with your name, a timestamp, and flagged as an override in the daily report.
Nothing is applied until you choose: The conflict modal is a review step, not a confirmation. You can always cancel out if you change your mind.

Overriding a Single Room's Status

You can manually set any room to any status directly from the room panel. This is useful when a room's status does not match reality — for example, a room marked Inspected that needs re-cleaning.

  • 1Tap the three-dot (⋮) on the card.
  • 2Under Status Manual Override, choose the correct status.
  • 3Confirm the change. The card updates immediately and the override is logged with your name and a timestamp.
All overrides are flagged: Every manual override appears in the activity log and daily report so managers can see what was changed and why.

Printing the Room Attendant Board

You can print a physical copy of the housekeeping board at any time — useful for properties that hand paper assignments to attendants at the start of a shift.

  • 1Tap Reports in the top navigation bar.

Include unassigned rooms: A checkbox above the print buttons (checked by default) controls whether unassigned rooms appear in the printed output. Uncheck it to print only rooms that have been assigned to an attendant.

Room Activity Log

Every action taken on a room is recorded — who did it, what they did, and exactly when.

  • 1Tap the three-dot (⋮) on any card.
  • 2Scroll to the bottom of the panel to find the Activity Log.
  • 3The log shows every status change, override, assignment, and note for that room — newest entries at the top.
Housekeeping Manager/Admin

Housekeeping Manager/Admin

Full board access, Out of Order controls, reports, and admin tools. Includes everything a supervisor can do.

Logging In

Managers log in with an email address and password, not a PIN.

  • 1Go to qboard.smallhospitality.com.

  • 3Tap "Property Admin / Manager? Sign in with email" at the bottom of the screen.
  • 4Enter your email address and password, then tap Log In.
Forgot password? On the email login screen, enter your email address and tap Forgot password? to receive a reset link.

Supervisor Tools

Managers have all supervisor permissions — assign rooms, inspect, bulk-select with conflict override, override status, add and resolve notes, and view the activity log. See the Housekeeping Supervisor section for the full guide on each of those features.

Filters

Two filter dropdowns sit above the room grid. Use them to narrow the board to exactly the rooms you need.

Only managers can mark a room Out of Order. Use this when a room has a maintenance issue that makes it unavailable for guests.

  • 3Confirm. The card turns very dark and the room is removed from the active housekeeping queue.

To clear an OOO room, open the panel again and override the status back to Dirty or the correct current state.

Reset a Room

Reset Room returns a room to a complete clean slate. Use it when a room's status is incorrect and needs to start fresh, or when mid-day corrections are needed.

What Reset Room clears:

  • Reservation status → set to C/O (Checked Out)
  • Cleaning status → set to Dirty
  • Staff assignment → cleared
  • Notes → cleared
  • All cleaning progress and timestamps → cleared
  • 1Tap the three-dot (⋮) on the room card.
  • 2Scroll to the Utilities section at the bottom of the panel.
  • 3Tap Reset Room (shown in red).
  • 4Read the confirmation and tap Confirm to proceed. This cannot be undone.
Warning: Reset Room is permanent and immediate. All cleaning progress for that room is lost. Use it only when needed.

Reports

Tap Reports in the top navigation bar to open the reports screen. Reports give you a full record of every room's activity for any selected day.

Admin Panel — Property Setup

Email login required: The Admin Panel is only accessible when you are logged in with your email and password. Managers who log in with a PIN do not see the Admin button in the nav bar.

Tap Admin in the top navigation bar to open the Property Admin Panel. Manager is the highest role in QBoard — there is no separate super-admin account. The panel has three sections:

1. Property Info

Displays your property name, property code, and timezone. These fields are set during onboarding and are read-only inside QBoard. The timezone controls when the 1:00 AM midnight reset runs each night. To update your property name or timezone after onboarding, contact Small Hospitality support.

2. Room Configuration

Add, edit, or remove rooms from your property. Each room has three fields:

  • Room # or Range — enter a single room number (e.g. 205) or a range (e.g. 101-110) to add multiple rooms at once. All rooms in the range will be created with the same type and floor/section.
  • Type — bed type shown below the room number on every card: King, Queen, Double, or Suite
  • Floor / Section — used by the floor filter on the board. Enter a number (2) for a floor, or a label (North Wing, Pool Side) for a section of the property. Whatever you enter here becomes a filter option on the board.
  • 1Enter the room number or range (101-110), select the type, and enter the floor or section name.
  • 2Tap Add Room(s). All rooms appear on the board immediately.
  • 3To edit a room's type or floor/section, tap the edit icon on that row in the table.
  • 4To remove a room, tap the delete icon. This is permanent and cannot be undone.
Example — setting up a new property: Rooms 101–110 on the first floor, all Queen beds: enter 101-110 in the range field, select Queen, type 1 in the Floor/Section field, then tap Add Room(s). Ten rooms are created in one step.

3. Staff Management

Add, edit roles, or remove staff members. Each staff account has:

  • Name — displayed on the board and in reports
  • Role — Room Attendant, Front Desk, Housekeeping Supervisor, or Housekeeping Manager/Admin
  • 4-digit PIN — what the staff member enters to log in. Manager accounts created here log in by PIN, not email.
  • 1Fill in the name, select a role, and enter a 4-digit PIN in the Add Staff fields.
  • 2Tap Add Staff. The account is active immediately.
  • 3To change a staff member's role, tap the edit icon on their card and select the new role.
  • 4To reset a staff member's PIN, tap the edit icon on their card, enter the new 4-digit PIN, and save. They can use the new PIN immediately.
  • 5To remove a staff member, tap the remove icon on their card. Their past activity remains in reports.
Forgotten PIN? Go to Admin → Staff Management, find the staff member's card, tap the edit icon, and set a new PIN. No email or reset link needed.

Data Retention & Purge

QBoard keeps a rolling 30-day history of activity. After that, a purge process begins.

All Roles

Room Notes

Notes can be added by any role and are visible to the whole team in real time.

What Are Notes

Notes let anyone on the team attach a text reminder or instruction to a specific room — extra pillows needed, maintenance follow-up, a VIP guest request. Notes appear as an icon on the room card and in the room panel for everyone to see.

Any role can add a note. Supervisors and managers can resolve notes. Notes are not cleared at midnight — they persist until manually resolved or until a manager resets the room.

Adding a Note

  • 1Tap the three-dot (⋮) on the room card to open the room panel. (Room Attendants: tap the notepad tile on your card.)
  • 2Find the Notes section and tap Add Note.
  • 3Type your note and save. A notepad icon appears on the card to signal an active note.

Resolving Notes

Supervisors and managers can mark a note resolved once the request or issue has been handled.

  • 1Tap the three-dot (⋮) on the card to open the room panel.
  • 2Find the note and tap Resolve.
  • 3The note is kept in the activity log but no longer shows as active on the card.
Reset Room clears all notes: If a manager resets a room, all notes are permanently deleted along with the room's status and assignment.
